Role Overview
We’re seeking a highly organized, proactive Business Operations Manager to support day-to-day business operations, internal coordination, and client-facing activities. This role blends project management, executive support, marketing coordination, and light sales enablement. You’ll be the connective tissue across teams—ensuring meetings happen, follow-ups are tracked, contracts move forward, and our presence stays sharp on professional social media.
Key Responsibilities
- Project & Meeting Coordination
- Schedule and manage internal and external meetings across teams and clients
- Track action items and ensure timely follow-up on deliverables
- Maintain shared calendars, file organization, and project timelines
- Executive & Sales Support
- Support leadership team through scheduling, meeting preparation, and timeline follow-up on strategic initiatives
- Conduct professional correspondence with clients, prospects and partners
- Support weekly sales check-ins and ensure prompt outreach and follow-through
- Monitor contract status and ensure signatures and documentation are complete
- Marketing & Communications
- Coordinate LinkedIn posts and light marketing activities
- Assist with drafting and scheduling thought leadership content
- Track engagement metrics and support brand visibility
- Cross-Functional Operations Oversight
- Maintain internal trackers for contracts, proposals, and client communications
- Liaise with vendors and partners to ensure smooth coordination
- Support onboarding and documentation for new clients and collaborators
- Ensure operational alignment across business functions and drive execution on key initiatives
- Manage routine administrative tasks including invoicing, bill payment, expense reports, and other operational-focused tasks that come up in the ordinary course of business
- Identify and manage vendors for back-office functions
Qualifications
- 5 years experience in healthcare quality, project management, business leadership, enterprise sales or a combination of these
- Experience in healthcare, health insurance, or Medicare Advantage (preferred but not required)
- Strong organizational and project management skills
- Proficiency in Microsoft Office, especially Excel (data tracking, analysis) and PowerPoint (presentation development).
- Comfort with executive-level communication and discretion
- Familiarity with LinkedIn, CRM tools, and project management platforms. JIRA experience preferred.
- Self-starter with a proactive mindset and attention to detail
- Based in Maryland (preferred) or Minnesota, with ability to work remotely
